Thank you for choosing OKC Embroidery! Because every order is a little different, these policies are here to make sure we're on the same page before I get stitching.
By approving and paying for an order with OKC Embroidery, you acknowledge and agree to the policies below.
Placing Your Order
Submitting an inquiry or custom order form does not guarantee availability or reserve a place on my production schedule.
Your order is considered confirmed once we have agreed on the details of your order and any required payment has been received.
Please make sure all information you provide (including names, initials, dates, sizes, quantities and personalization details) is correct before approving your order.
Pricing & Payment
Custom embroidery pricing varies depending on the item, design, stitch count, quantity, digitizing needs and other details of the project.
You will receive pricing before your order is confirmed. Additional requests or changes made after your original quote may result in additional charges.
Payment instructions will be provided with your invoice. Unless otherwise arranged, payment is required before production begins.
Custom Designs & Mockups
For orders requiring a custom design or layout, a digital mockup may be provided for approval before embroidery begins.
Mockups are intended to give you a general idea of the finished piece. Thread colors, sizing, placement and other details may appear slightly different on a screen than they do on the finished product.
Please review your proof carefully.
Once a design has been approved, you are responsible for the spelling, initials, dates, wording and other details shown in the approved design.
If OKC Embroidery makes an error that differs from your approved design, I will work with you to make it right.
Monograms & Initials
Please provide initials in (First, Middle, Last) order.
Different monogram styles use initials in different orders. Please list initials in (First, Middle, Last) order in your inquiry and I will arrange the letters correctly based on each monogram style.
Thread & Product Colors
I do my best to represent colors accurately in photographs and digital mockups, but colors can vary between screens and in different lighting.
Thread colors may also look slightly different once stitched onto different fabrics and garment colors.
If an exact color match is especially important to your project, please let me know before approving your order.
Please note that embroidery on patterned backgrounds can be hard to see depending on the pattern. It is best to go with a high-contrast thread color or request a background be embroidered behind your design, similar to a patch.
Customer-Provided Items
I'm happy to embroider many customer-provided items, provided they're suitable for machine embroidery.
Embroidery involves commercial machinery, needles, stabilizers, hoops and other processes that interact directly with the item being embroidered. While I take great care with every piece, there is always some inherent risk when embroidering an item.
By providing an item for embroidery, you acknowledge this risk.
OKC Embroidery is not responsible for replacing customer-provided items that are damaged as a result of an unavoidable or reasonably unforeseeable issue during the embroidery process when reasonable care was taken.
For particularly valuable, sentimental, irreplaceable or one-of-a-kind pieces, please talk with me before placing your order. I may recommend that the item not be embroidered.
If I make an error due to my own workmanship, I'll work with you toward an appropriate solution.
Items Purchased Through OKC Embroidery
If I am sourcing an item specifically for your order, availability, sizing, pricing and colors may depend on the supplier.
Occasionally an item may become unavailable after a quote is provided. If that happens, I'll contact you before substituting another product.
Please review requested sizes, colors and quantities carefully before your order is placed.
Turnaround Times & Deadlines
Turnaround time varies depending on my current workload, the size and complexity of your order, product availability and other project details. I typically work based on deadlines in an effort to accommodate as many customers' deadlines as possible.
If you need your order for a particular date, please tell me before placing your order.
I'll let you know whether I can accommodate your deadline.
Estimated completion dates are estimates unless I have specifically confirmed a firm deadline with you. Supplier delays, shipping delays and circumstances outside of my control can occasionally affect timing.
Rush Orders
Rush orders may be available depending on my schedule and the requirements of your project.
Additional rush charges may apply.
Please contact me before placing an order if you have a short turnaround time. Paying for an order without first confirming a rush deadline does not guarantee that the order can be completed by that date.
Changes After Approval
Please contact me as soon as possible if you need to change your order.
Changes are usually easy to make before materials have been ordered or production has begun.
Once products have been ordered, a design has been digitized, or embroidery has begun, changes may not be possible and additional costs may apply.
Once an item has been embroidered, personalization cannot be removed or changed without potentially damaging the item.
Cancellations
Because many orders are personalized specifically for you, cancellation options depend on how far your order has progressed.
If you cancel before materials have been purchased or work has begun, I will work with you regarding any eligible refund.
Once custom merchandise has been ordered, digitizing or design work has been completed, or production has begun, those costs may be non-refundable.
Completed personalized items cannot be canceled.
Returns & Refunds
Because embroidered and personalized products are made specifically for you, custom items are generally final sale and cannot be returned or exchanged due to a change of mind.
That said, I stand behind my work.
If your finished order does not match the details you approved because of an error on my part, please contact me as soon as possible. I want you to love what you ordered, and I'll work with you to make it right.
Normal variations inherent to embroidery - such as very slight differences in placement, sizing, stitching or thread appearance - are not considered defects.
Local Pickup
Local pickup is available in Oklahoma City.
I'll contact you when your order is ready and provide pickup instructions.
Please wait until you receive confirmation that your order is complete and your pickup time is confirmed before arriving for pickup.
Completed orders should be picked up promptly. If you know you'll be unable to pick up your order for an extended period, please let me know so we can make arrangements.
Local delivery is not available at this time.
Shipping
Shipping is available for customers outside the Oklahoma City area and whenever otherwise arranged.
Please make sure your shipping address is correct before your order is sent.
Once a package has been transferred to the shipping carrier, delivery timing is outside of my direct control. OKC Embroidery is not responsible for carrier delays.
If a package is lost or damaged in transit, please contact me and I'll help you determine the appropriate next steps with the carrier.
Additional shipping charges caused by an incorrect address provided by the customer may be the customer's responsibility.
Unclaimed or Abandoned Orders
If I need information or approval from you in order to continue your project, production may be paused until I hear back.
Delays in customer responses may affect the original estimated completion date.
If a completed order is left unclaimed or I'm unable to reach you for an extended period, I'll make reasonable attempts to contact you using the information provided with your order.
Logos, Artwork & Copyright
You are responsible for ensuring you have permission to use any logos, artwork, trademarks or other designs you provide for reproduction.
Submitting artwork to OKC Embroidery represents that you have the necessary rights or permission for it to be reproduced.
I reserve the right to decline any design or project that I cannot legally or appropriately reproduce.
Some artwork may need to be digitized or modified before it can be embroidered successfully. Any applicable digitizing or design fees will be discussed before proceeding.
Photos of Finished Work
I love sharing what I make!
Unless otherwise requested, OKC Embroidery may photograph finished pieces and share those images on my website, portfolio or social media.
Ordering a surprise or gift? Just let me know. I'm always happy to hold off on sharing your piece until after it has been given when requested.
If you would prefer that your order not be photographed or shared at all, please tell me when placing your order.
Personal contact information will never intentionally be shared as part of these posts.
Live Event Embroidery
OKC Embroidery does not currently offer live or on-site event embroidery.
I'm happy to create embroidered items for your event ahead of time. Please reach out as early as possible so we can discuss quantities, timing and your event date.
Handmade & Embroidered Details
Embroidery isn't a printed manufacturing process, and that's part of what makes it special.
Small variations in placement, stitch appearance and finished dimensions can occur between pieces, particularly when working with different fabrics or handmade/custom items.
These minor variations are normal and are not considered defects.
